TMHA Rep Coaches and Managers Manual
Introduction
Welcome to another season with Terrace Minor Hockey. As a coach or manager of a TMHA Rep team, we
appreciate all the time you put in for the benefit of our players.
This manual will provide a guide to all important information you will need for the coming season. TMHA has
undergone a policy review, and those policies are posted on the TMHA website
http://www.terraceminorhockey.ca under ‘Administration’.
The Representative Supervisor (TMHA 2nd Vice President) will coordinate with the coaches and managers
regarding the affairs of the Rep teams. All questions and\or concerns regarding the Rep teams are to be directed
to the 2nd Vice President.
Qualifications
Rep Head Coach/Asst. Coach: Dev 1, Checking Component is required for Head Coaches U13, U15 and U18,
Respect in Sport for Activity Leaders, Concussion Awareness Training Tool (CATT), current Criminal Record
Check.
U11 Development Head Coach/Asst. Coach: Coach 2, Checking Component is required for Head Coaches of
Atom Development, Respect in Sport for Activity Leaders, Concussion Awareness Training Tool (CATT),
current Criminal Record Check.
Safety Person: Respect in Sport for Activity Leaders, Hockey Canada Safety Program (HCSP), Concussion
Awareness Training Tool (CATT), current Criminal Record Check
Manager: Respect in Sport for Activity Leaders, Concussion Awareness Training Tool (CATT), current Criminal
Record Check.
Rostering
Roster Size – Teams are limited to 17 skaters and 2 goalies but TMHA has established a best policy for roster
size at the rep level.
• U11 Development - 15 skaters and 2 goalies
• U13, U15 and U18 Rep - 17 skaters and 2 goalies
At a minimum, all teams must have a qualified Head Coach, Safety Person and Manager. Assistant coaches
can be established but there is a maximum of 5 team staff permitted on the bench at any time.
Affiliate players - All rep teams should have a list of Affiliate Players. Most of the time these will essentially
be your last cuts. Teams are encouraged to bring AP players out to their practices as long as it doesn’t conflict
with the AP players regular team practice. The only exception would be if a team is planning to use an AP in
their upcoming game(s) they can bring the player to their practice that week.
Coaches of AP’s are expected to encourage their players to take advantage of AP opportunities. Players
should always strive to play the at the highest level they are capable of and playing up only helps
development. The only exceptions to this should be if there is a tournament or playoff game.
If any Rep coach consistently experiences difficulty with the APs Recreation coaches not allowing players to
AP, they should contact the 2nd Vice President (Rep Supervisor).
Please note Rep teams must begin the AP process prior to December 1st and no additions can be made
after Jan 10th.
Once your roster is complete and your team finalized, you must send your roster complete with player
numbers to the TMHA Registrar and 2nd Vice President. This must be done prior to the first game the team
plays.
Team staff (Asst. Coaches etc.) can be added at any time but after December 1 they must have all their
qualifications in place in order to be added.
Please note, you may not use an AP player until the Registrar has added them to your roster and you
receive an updated HCR roster from the Registrar!
Carding
Each representative team is provided 20 cards for the season. Only 19 cards can be active at one time. Once
a card has been used, it cannot be replaced. It is in the best interests of each team to card the minimum
number of players required to start the season and add players throughout the season as circumstances
require. Such circumstances may include a season-ending injury to a player, a player quitting representative
hockey association for the season, etc. If a player chooses to quit the team or sustains a season ending injury
after they have been carded the Team Manager must request that the TMHA Registrar contact BC Hockey ASAP to
have the player card “returned” stating the reason, this is done so as to not “burn” a player card and allow to card
another player if necessary.
Tournaments
U13, U15, U18 Rep:
TMHA will pay the entry fee for three tournaments for each carded Rep team (to a maximum of $4500)
annually.
U13 Rep will have the opportunity to host the Annual Cliff Sharples Memorial tournament as a fundraising
event in mid October.
U11 Development:
TMHA will pay the entry fee for one out of town tournament for Atom Development.
U11 Development may only compete in a total of three tournaments annually as per BC Hockey Pathways
policy.
U11 Development will have the opportunity to host a fundraiser tournament during the Christmas break.
Scheduling Tournaments
Rep teams must provide the 2nd Vice President with no more than three weekend blackout dates for
tournaments they wish to participate in by the completion of tryouts. These dates will be submitted to the
NWD League Scheduler to schedule required League games. Once the NWD schedule has been finalized, Rep
teams will not be permitted to reschedule League games in order to attend tournaments. Teams are
permitted to attend more than three tournaments as long as they do not interfere with NWD League play.
Travel Permission
Teams attending tournaments outside of the NW District are required to download the form “Interdistrict
Travel/Exhibition Game Form” from the BC Hockey website. Form - Standard (bchockey.net)
The completed form needs to be filled out and sent to the NWD Statistician at nwdstats@gmail.com no less
than 7-10 days prior to the event.
Failure to apply for and receive travel permission prior to travel will lead to disciplinary action against the
team and Head coach.

League Games
Once a team has declared their intention to participate in the NWD League, every effort must be made to
fulfill their obligation to League play. If for unforeseen circumstances a game must be cancelled (such as
weather) every effort must be made to reschedule the game(s). Failure to do so could result in fines of $500
per game and the cost of ice and officials.
Exhibition Games
Teams are permitted to arrange and/or participate in exhibition games when their schedule allows. All
exhibition games must be sanctioned. It is the responsibility of the “home” team to ensure that the proper
sanctioning is in place. Completed exhibition game requests must be submitted to the NWD Statistician at
least 7-10 days prior to the event. Although it is the “home” teams’ responsibility to submit the sanction
request it is also the responsibility of the “away” team to ensure the sanctioning is in place before they
travel. The away team should request a copy of the exhibition approval number from the “home” team prior
to travel. Any teams participating in an unsanctioned exhibition game will result in the head coaches from
both teams being suspended. Exhibition game request forms can be found at NWD Exhibition Game Request

Travel
TMHA strongly recommends that whenever possible team travel on the TMHA bus. When travelling in the
winter it is in the best interest of our coaches and players travel together in an effort to reduce the number
of vehicles on the road. The opportunity to travel as a team on a bus is quite a fun and team building
experience for our players.
All requests to use the bus will go through the TMHA Bus Coordinator and will be assigned with the following
criteria in mind (it is not first come, first serve);
1. Priority will be given to the team travelling the furthest distance. In the case where the
distance is the equal, priority will be given to the senior team.
2. All teams must pay a $1000 per use fee for all trips past Prince George. There is no fee for
trips between Terrace and Prince George. This fee is to help offset the cost of regular bus
maintenance.
3. Buses are to be returned cleaned and refueled. Failure to do so will result in a cleaning
and/or refueling fee.
Budget and Team Fees
TMHA requires all Rep teams to assign a team Treasurer for the season. The treasurer shall not be a relative
(spouse, sibling, parent, etc.) of any of the coaches or team manager. The treasurer will work with the coach
and manager to present a budget to the parents. The approved budget must then be submitted to TMHA.
TMHA will provide each team with a bank account.
With an approved budget, team fees (assessments) can be set for parents. TMHA expects Rep parents to be
aware that playing on Rep teams is more costly than playing on a Recreational team. Coaches may hold
players out of games if team fees are not paid by the agree upon dates.
Medical
Team manager will ensure that all players fill out and submit the Hockey Canada Medical Information Sheet:player_med_info_e.pdf (hockeypfds.com)
Medical information sheets will be kept in a binder and must be present with either the Team Manager or
HCSP for every game. All medical information is confidential and is only for the team official in charge of this.
Should a player sustain an injury during a game the HCSP must fill out a Hockey Canada injury report ( 2020_injury_report_hockeycanada_whl_e.pdf ) within
24 hours of sustaining the injury, and the injury must be documented in the “Team Injury Log": Form - Standard (bchockey.net)
If a player is injured there must be a doctor’s note given to the Manager clearing the player prior to return to
play.
HiSports
All games are kept score on the HiSports mobile game sheet app. Tutorial can be found at HiSports Tutorial: PowerPoint Presentation (bchockey.net)
• Before each game it is the responsibility of the coach or team manager to ensure that the rosters
have been entered into HiSports under the correct corresponding game number. Game numbers can
be found in the HiSports app, under “games”.
• Once the game has been completed and the score keepers and referees have logged off an electronic
copy of the game sheet will automatically be emailed to the Head Coach and Team Manager.
• It is the responsibility of the Head Coach and Team Manager to ensure the accuracy of the game
sheet before they leave the arena. It is common for score keepers to make mistakes on the game
sheets. If a discrepancy is found (if home team) inform the 2nd Vice President ASAP to initiate
correction. If you are the away team, please locate the away Team Manager ASAP to initiate
corrections. Corrections will not be made once you have left the building.
Important Dates
September 1st Deadline MHA’s to enter teams into the NWD Representative League
September (TBA) Development 1 Clinic Smithers.
October 1st All teams must have electronically completed their roster in HCR and
submitted their teams to NORTH WEST DISTRICT MHA via the Executive
Director before league participation.
October (TBA) NWD Representative(Competitive) League Play target date to commence.
November 1st Deadline to declare carding and playing in the NWDMHA Zones, all Team
Officials must have all certifications.
November 15th Deadline for an MHA to withdraw from Hosting NWDMHA Zones.
December 1st Final deadline to declare carding and eligibility for BC Hockey
Championships for teams not required to play in NWD leagues.
December 1st Final date for Minor Hockey Tier 4, 3, and 2 Teams to declare their intent
to compete in a higher category in the BC Hockey Championships.
December 1st All Representation teams must have a certified Head Coach and qualified
HC Safety Person to be eligible for BC Hockey Championships.
December 31st Final date for teams on HCR to declare their intention to withdraw from BC
Hockey Championships without penalty.
January 10th Final Date for Residential waiver .
January 10th Final Date to register Affiliate players to Representative and Recreational
teams.
February (TBA) All NWD Tier 1, 2, 3 & 4 league play must be completed.
February 10th Final player registration date in all divisions of hockey (HC Reg. Final date to
register player with BCH)
February (TBA) NWD Zones commence
March 5th All NORTH WEST DISTRICT MHA Zone Winners must be declared for BC
Hockey Championships
March (TBA) BC Hockey Championships, U13, U15, U18, Tiers 1, 2, 3, 4. March ?? will be
the travel day.
